SPEAKER CENTRE USAGE & AUDITORIUM

For logistical reasons and to grant a smooth process, companies organising an on-site satellite symposium must use the speaker centre to upload the symposium slides. All instructions are available in paragraph 3.7 of the ESMO 2022 Industry Guidelines.

Only the company/agency designated representative will be granted access to the speaker centre for upload of all satellite’s presentations. This person must be duly registered on the list and will need to identify with first and last name upon arrival at the speaker centre. Should there be any change in the designated representative after 13 July, please inform satellites@esmo.org as soon as possible.

Important: In such case, there will be an extra laptop located in the related auditorium from which only one person from your company, assisted from a technician, will be able to control the slides of your presentation. Kindly be reminded that it is mandatory to upload in advance your presentation through the Speaker Centre, therefore from such extra laptop it is not allowed to process any changes on the ppt. If interested in such option, please note that you have to submit your request by the 13th July, after that date it will not be possible any longer.

ON-SITE SATELLITE WEBCAST

All on-site satellite symposia will be recorded by our supplier M-Events and added on the ESMO 2022 Virtual Congress Platform within 12 hours after the end of the session unless the sponsoring company specifies anything differently here below.

ADDITIONAL ON-SITE SERVICES

ON-SITE VOTING

Companies sponsoring an on-site satellite symposium can only use the live polling system available on the ESMO 2022 Virtual Congress Platform, which will allow both onsite and online delegates to vote during the session.

On-site delegates will be able to connect to the live polling system by scanning with their own device the QR code available in the assigned auditorium. Before the voting starts, a slide with the related instructions will appear. The results will be displayed on the projection screen.

Further details on this feature are available in paragraph 6.3 of the ESMO 2022 Industry Guidelines and can be ordered in the next section dedicated to the live streaming services.

BADGE SCAN SYSTEM

If the sponsoring company wants to record contact information of the on-site delegates attending the satellite symposium, this is only possible by using the official on-site badge scan system provided by our official supplier CTI (leadsystem@ctimeetingtech.com).

Further details on this feature are available in paragraph 3.9 of the ESMO 2022 Industry Guidelines. The cLead brochure and cLead order form will be available online in April 2022.

Queries need to be provided by the company within 24 August 2022. Also onsite delegates will be able to use this feature by simply scanning with their own device the related QR code available in the assigned auditorium. Important Information:
All prices of the additional online services provided by M Events are subject to German VAT: 19%. For an intra-Community supply of services, the tax liability is based on the European VAT Directive of the recipient (via reverse-charge procedure) and the prices are calculated without VAT, as long as the tax ID is provided.

Payment Conditions:
100% and 10 days after receipt of invoice. If payments are delayed, M Events has no obligation to deliver the services. Payment by wire transfer only.
